Required Qualifications

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience in sales support, customer service, account management, or a related field.
  • Manufacturing industry experience required.
  • Experience using SAP is required.
  • Intermediate Excel skills required (pivot tables, formulas, data management).
  • Salesforce experience is preferred.
  • Bilingual English/Japanese is preferred but not required.
  • Strong written and verbal communication skills.
  • Excellent organizational skills with the ability to manage multiple priorities.
  • Ability to maintain confidentiality.
  • Ability to work overtime with short notice when business needs require.
  • Ability to lift up to 10 lbs. daily and perform standard office physical activities including sitting, standing, walking, reaching, and using a computer.

Responsibilities

  • Process quotations, sales orders, purchase orders, and related documentation for assigned customers.
  • Coordinate delivery schedules and communicate with customers, sales representatives, regional sales managers, and internal departments.
  • Review contracts and purchase orders for accuracy and compliance.
  • Maintain product availability information and communicate updates as needed.
  • Coordinate custom specifications, service requests, product transfers, and machine configuration details.
  • Prepare shipping and transportation documents including commercial invoices, packing lists, airway bills, shipping instructions, and booking transportation.
  • Manage billing processes, including invoices, down payments, RMAs, and order tracking.
  • Monitor order status and proactively provide updates to customers and internal stakeholders.
  • Serve as the primary internal point of contact for assigned customer accounts.
  • Provide reception and incoming call support as needed.
  • Develop and maintain proficiency in SAP through internal and external training.
  • Deliver exceptional customer service while supporting Regional Sales Managers and the sales team.
  • May be assigned additional duties by management as business needs require.
