Japanese organization that promotes Japanese business success in the US seeks an Administration Assistant in Midtown, Manhattan.
Title: Administration Assistant
Employment Type: Temp; renew the contract annually for up to 3 years
Hourly Rate: $24.5
Work Location: Midtown, Manhattan *3 days office
Work Hours: 9am – 5pm, Monday – Friday or 4 days/week
Job Responsibilities
- Assist in budgeting and basic accounting tasks
- Research the U.S. intellectual property system and assist in preparing related statistical reports
- Support the development of presentations and written materials on intellectual property topics
- Assist with planning, preparing, and running seminars, meetings, and other events
- Handle a wide range of administrative duties, including phone and visitor reception, scheduling appointments, calendar management, and coordination with external vendors
Requirements
- Ability to write, read, participate in meetings, and handle phone calls in both Japanese and English.
- Ability to handle general administrative tasks with flexibility and professionalism
- Strong attention to detail, including experience preparing vouchers, organizing documents, and editing data
- Proficiency in basic MS Office applications (Word, Excel, PowerPoint)
- Strong customer service skills for interacting with seminar participants and other stakeholders
- Willingness to travel domestically within the U.S. once or twice a year to support on-site activities
- No prior expertise in intellectual property is required; however, candidates should show strong teamwork skills and a genuine interest in learning and contributing
