Japanese-English Bilingual Senior Administrative Assistant

Salary: $57,000~$95,000

Location: New York City (Hybrid)

A leading global financial institution is seeking a Japanese-English bilingual senior administrative assistant to provides high-level administrative, clerical, and organizational support to the General Manager, as well as to other senior executives and team members.

This role is critical to ensure smooth day-to-day operations, effective communication, and coordination across regions and stakeholders.

Role Objectives

  • Manage complex calendars, schedule meetings across multiple international offices and time zones, and coordinate internal and external appointments for General Manager, senior executives and team members.
  • Coordinate international and domestic travel, including flights, hotels and car services as required; prepare itineraries and secure visas where applicable.
  • Process and submit expense reports and approvals in accordance with firm policies.
  • Prepare, edit, and format correspondence and materials for internal and external use.
  • Support planning and execution of meetings, events, and offsites, including logistics and materials preparation.
  • Act as a point of contact for internal stakeholders and external counterparties, ensuring timely and professional communication.
  • Provide general administrative and office support as needed to support business operations and team effectiveness.
  • Coordinate effectively with other administrative assistants.

Qualifications and Skills

  • 5-10 years of experience in an executive assistant or senior administrative support role.
  • Prior experience in a financial institution or professional services environment is preferred, but not required.
  • Experience supporting senior executives and/or teams within fast-paced, deadline-driven environments.
  • Ability to work effectively with global teams and manage competing priorities across regions.
  • Fluent in both English and Japanese.
