A Japanese trading company is seeking an entry-level Sales Assistant to support its Manager and sales team. This position will handle a wide range of responsibilities, including sales administration, customer service, order processing, shipping coordination, and report preparation.
No prior experience is required, as training will be provided. This is a great opportunity for recent graduates or candidates looking to begin their careers in sales and international business.
Responsibilities
Serve primarily as a Sales Assistant to the Manager.
Prepare and send checks, invoices, internal documents, letters, and packages for domestic and international shipments using courier services and international freight forwarders, including UPS, FedEx, DHL, KWE, and NNR.
Contact freight forwarders to arrange the pickup of documents and packages.
Prepare and process inquiries, purchase orders, invoices, quotations, packing lists, formal business letters, envelopes, address labels, air waybills, faxes, itineraries, and other business documents.
Follow up on and expedite quotations and purchase orders.
Handle the onboarding of new suppliers and customers in the company’s sales tracking system.
Use Microsoft Outlook, Excel, Word, and Access to prepare purchase orders, invoices, and other business documents.
Provide customer service, including responding to customer inquiries, handling catalog requests, checking order status, following up on information requests, and obtaining flight information.
Negotiate cost and lead time with suppliers and customers when necessary.
Assist sales staff with orders and projects.
Use basic math skills to prepare sales orders and reports and process sales-related receipts and payments through the company’s internal system.
Prepare monthly sales, purchasing, and backlog reports using Microsoft Access and Excel.
Travel as required, including travel to Japan. Some responsibilities may require work outside regular business hours.
Comply with company policies, rules, and compliance requirements.
Organize and maintain necessary documents, files, brochures, and other materials in accordance with company policy.
Provide coverage and support when another salesperson is out of the office.
Maintain a professional appearance appropriate for a sales position.
Perform other related duties as required.
Qualifications
Working knowledge of Microsoft Outlook, Excel, Word, and Access
Basic math skills
Strong organizational and customer service skills
Ability to communicate and coordinate with customers, suppliers, freight forwarders, and internal team members
Willingness to travel, including internationally
