QC Administrative Assistant

Job Title: QC Administrative Assistant

Reports To: Asst. Quality Manager

FLSA Classification: Non-Exempt

Work hours: 8am-4:30pm, 40h/week

Position Summary

We are seeking a detail-oriented QC Administrative Assistant to support the Quality Department through document control, record management, quality-related administrative support, and coordination of quality documentation processes. This role plays a key part in maintaining accurate records, supporting compliance requirements, and ensuring documentation is properly organized and maintained.

Key Responsibilities

  • Support quality-related documentation processes, including Supplier Surveys, Corrective Actions, and PPAP (Production Part Approval Process) documentation.
  • Maintain records of quality inquiries, comments, corrective actions, and follow-up activities.
  • Document information using AIAG (Automotive Industry Action Group) standards and required quality formats.
  • Manage document control and record retention for quality department files and records.
  • Organize, file, and maintain departmental documentation in both electronic and physical formats.
  • Assist with tracking quality-related projects and documentation status.
  • Attend departmental meetings and maintain meeting records as needed.
  • Provide general administrative support to the Quality Department.
  • Perform additional duties and special projects as assigned.

Qualifications

  • Associate degree preferred, but not required.
  • Minimum of 2 years of administrative, clerical, or document control experience; or equivalent combination of education and experience.
  • Strong written and verbal communication skills in English
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Excellent organizational skills with strong attention to detail.
  • Strong active listening, critical thinking, and problem-solving abilities.
  • Experience working with quality documentation at manufacturing environments (automotive indutry) is a must
  • Familiarity with quality tools and measurement equipment such as calipers, micrometers, and optical comparators is a plus.
  • Below experiences are big plus
    • PPAP (Production Part Approval Process) documentation experience
    • Hands-on experience with IATF 16949 (or ISO 9001) quality management systems, including maintenance, compliance, audits, and continuous improvement activities. 
    • Experience handling quality issues and customer complaints, including root cause analysis and corrective actions. Proficient in preparing 8D Reports and 5 Why analysis reports.

  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong recordkeeping and document management skills.
  • Ability to follow written and verbal instructions accurately.
  • Basic mathematical skills, including calculations involving percentages, ratios, and decimals.
  • Ability to analyze information and resolve routine administrative issues.

Physical Requirements

  • Ability to sit, stand, and work at a computer for extended periods.
  • Ability to lift up to 30 pounds when necessary.
  • Ability to work in a manufacturing environment while following required safety procedures and PPE requirements.
