Title: Part-Time Office Administrator
Pay rate: $25-30/hour
Work schedule: Part-time 3 days per week, 9am-5:30pm
Location: Midtown, NY ONSITE
Summary
A Japanese company is currently looking for a Part-Time Office Administrator to join the Corporate Planning Department in the New York Office. Please note that this position requires in-office attendance three (3) days a week and does not provide the possibility of remote work.
Key Responsibilities:
• Performs reception duties such as authorizing visitors, accepting deliveries and arranging for outgoing mail/shipments, sorting and distributing mail and packages, answering and routing calls, and ensuring office appearance is neat and orderly.
• Provides administrative support by maintaining office & kitchen supplies and equipment, coordinating parties and other company events, handling corporate communications, and performing other administrative tasks as necessary.
• Performs administrative work such as payment operation, creating fixed form documents for invoice and internal management using MS Excel and other computer-based programs and applications.
Experience
• At least one (1) year of experience with business administrative processes and handling operations such as reception/payment/creating fixed form documents, utilizing common Internet and e-mail programs to research and gathering information).
• Strong communication skills with customers, vendors, upper management, and members, with capability to understand user’s request correctly, provide support in a timely manner, confirm with the customer in an appropriate way.
• Mind and skill to improve processes while being detail-oriented, organized and a quick learner.
• Experience in a multicultural working environment and sensitivity to intercultural issues.
• Excellent proficiency with Microsoft Suite (Excel / Outlook / Word / Powerpoint) is required..
Skills & Qualifications:
• Excellent English and Japanese communication skills, both written and verbal, are necessary.
• Strong interpersonal and communication skills, with the ability to communicate effectively with management, staff, and vendors in a timely manner.
• Being detail oriented, with strong multi-tasking, prioritization, organizational and time management skills.
