Summary

Our client, a Japanese company is seeking a detail-oriented and proactive General Affairs Representative to provide corporate-level administrative support across multiple departments. This position plays a key role in office administration, facility management, inventory control, employee support, and coordination of company operations. The ideal candidate is organized, service-oriented, and capable of handling a variety of administrative responsibilities in a fast-paced environment.

Key Responsibilities

Office Administration & Facilities

  • Welcome visitors and direct them to the appropriate departments.
  • Maintain office spaces, break rooms, storage areas, and general workplace organization.
  • Manage incoming and outgoing mail, packages, and shipments.
  • Coordinate meeting rooms, meetings, and other office logistics.
  • Support company events and internal activities.

Inventory & Asset Management

  • Monitor and maintain office supply inventory, equipment, and consumables.
  • Track and manage company fixed assets.
  • Support uniform inventory management and shipments for retail store locations.

Administrative Support

  • Assist with administrative systems, tools, and internal processes.
  • Support various departments with administrative tasks, reporting, and information management.
  • Maintain records, files, and databases while ensuring confidentiality and accuracy.
  • Perform ad hoc administrative duties as needed.

Workplace Support & Compliance

  • Assist with workplace improvement initiatives and employee support matters.
  • Ensure compliance with company policies, safety standards, and government regulations.
  • Communicate effectively with management, office staff, store personnel, and external vendors.

Qualifications

  • Previous administrative, office coordination, general affairs, or office management experience preferred.
  • Strong organizational and multitasking skills.
  • Verbal and written communication skills in Japanese and English.
  • Proficiency in Microsoft Office and general office systems.
