TITLE: Project Admin Assistant

LANGUAGE; Japanese bilingual

STATUS: Temp, Part time (20 hours per week)

LOCATION: Palo Alto

WAGE: $25.00-35.00/h depending on experience

HORK STYLE: Office work (no remote work is available)

WORK HOUR:8h between 8:00 am – 6:00 pm, *lunch break unpaid

Location: In-Office (Palo Alto, CA)

Required Qualifications

  • Japanese-English bilingual (business-level communication required)
  • Prior experience working in a corporate or professional office environment
  • Strong interpersonal skills and ability to interact professionally with guests and stakeholders
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Ability to handle administrative tasks with accuracy and attention to detail
  • Strong time management and multitasking skills
  • Ability to support event coordination and administrative operations
  • Basic English communication skills for emails and conversations
  • Professional business etiquette, especially in a Japan-related environment
  • Comfortable working in a team-oriented, startup-like setting

Responsibilities

  • Serve as front desk reception and first point of contact for visitors and tenants
  • Respond to inquiries via email, phone, and website contact forms
  • Provide administrative support including document creation, scheduling, and coordination
  • Assist in planning and executing events, including setup and vendor coordination
  • Support community engagement and communication with facility users
  • Manage facility-related administrative tasks and daily operations support
  • Update website and online event announcements
  • Assist with meeting coordination and preparation of meeting minutes
  • Maintain organized records, databases, and documentation
  • Support general office operations including mail handling and communication
  • Ensure professional and clean working environment
