Position Title : Administrative and Executive Assistant 

Total hours of week : 15h-20h

Working Style: ideally onsite (open for potential 3 days/4 days a week in office)

Working Hours: 9:00 a.m. to 12:00 p.m. Depending on the situation, there are occasional cases where these hours are shifted to the afternoon 

Hourly Pay: $30/h

FLSA Status: Temporary

Duration: around a 4 month period

This role involves a work schedule of 15 to 20 hours per week, with a starting pay rate of $30 per hour, paid bi-weekly. The pay rate will start at US$ 30/hour, paid on a bi-weekly basis. 

Your job responsibilities will include, but are not limited to:

• Administer and manage the Concur Expense (Corporate Credit Card Program), including training staff on usage, reconciliation, and accounting.

• Handle general accounting tasks for the team, including expense payments, record-keeping, and filing, mainly using SAP system.

• Assist with various administrative duties related to business travel, entertainment expenses and donations etc..

• Coordinate and maintain the calendar of GM/Branch staff, establish priorities, and respond to changing deadlines.

• Arrange and manage travel arrangements of GM/Branch staff and expense reimbursement reports.

• Greet and direct guests, screen calls, and manage routine matters. Organize executive meetings and events and office facilities.

• Coordinate the management of the office/facilities consulting with our Administration Team

• Support any cin the ground basic IT support on behalf of our Systems Planning Team

• Assist with arrangements of activities in support of the branch such as employee holiday parties, etc.

• Create, maintain, and translate documents and records in both English and Japanese.

• Business support (If possible. This may lead to be a positive factor in salary)

• Conduct market research and create trend analysis presentations and reports.
