Business Operations Specialist

Salary Range: $69,300 – $85,000 (DOE)

Location: Long Island, NY (Hybrid: Mon–Wed in office, Thu–Fri remote, subject to business needs)

About the Job

An international company is seeking a Business Operations Specialist to support the Administrative Division. This role covers accounting, HR, legal, and general administrative functions, and will succeed a current staff member returning to headquarters next year.

As the position requires frequent communication in Japanese, advanced-level proficiency in both Japanese and English (reading, writing, speaking) is essential.

Start Date: Around October 1

Key Responsibilities

Accounting (Primary Focus)

  • Manage monthly, quarterly, and annual closings
  • Handle billing, payments, funds management, and reporting (QuickBooks)
  • Support budgeting, internal controls, tax filings, and audits
  • Communicate regularly with Japan headquarters

Human Resources

  • Manage onboarding/offboarding, compensation, and benefits for expatriates and local staff
  • Assist expatriates/families with U.S. tax and visa matters
  • Maintain HR policies and employee handbook
  • Coordinate with U.S. affiliates on compliance and HR programs
  • Support recruiting and vendor management

Legal / General Administration

  • Assist with contract review and management
  • Support preparation of shareholder meeting materials and risk management
  • Join occasional after-hours meetings with Japan headquarters

Qualifications

Required

  • Minimum 3 years of accounting experience
  • Native-level Japanese & Advanced-level English proficiency
  • Strong team player, proactive and independent worker

Preferred

  • HR or general affairs experience
  • Proficiency in Microsoft Office (Excel) and QuickBooks
  • Experience in Japanese-affiliated companies or familiarity with Japanese corporate culture
