Position Overview
A Japanese company is seeking a highly organized and proactive Administrative Assistant to support executive leadership and business development activities. This role will provide direct administrative support to senior executives while assisting with CRM management, proposal coordination, client communications, and business development initiatives.
This position is ideal for someone who enjoys working in a fast-paced, professional environment and excels at managing multiple priorities with strong attention to detail.
Key Responsibilities
Executive & Administrative Support(Approx. 50%)
- Manage executive calendars, meetings, and scheduling
- Coordinate domestic and international travel arrangements and expense reports
- Prepare presentations, meeting materials, and executive correspondence
- Coordinate communication with the Japan headquarters
- Support executive visits, client meetings, and company events
- Handle confidential documents and maintain executive records
Business Development Support(Approx. 50%)
- Maintain and update CRM data (Salesforce or similar)
- Track business development activities and prepare reports
- Coordinate proposals, presentations, and marketing materials
- Prepare meeting minutes and follow up on action items
- Maintain client databases and business development records
- Coordinate customer visits and client communications
- Support trade shows, industry events, and marketing activities
- Assist with weekly and monthly business development reporting
- Coordinate visitor arrangements
Qualifications
Required
- Expert-level Japanese and business-level English communication skills
- 3–7 years of experience in an Administrative Assistant, Sales Coordinator, Executive Assistant, or similar role
- Strong organizational, communication, and multitasking skills
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Ability to work onsite in the Atlanta office
Preferred
- Experience with Salesforce or other CRM systems
- Experience supporting senior executives
- Experience in construction, engineering, manufacturing, or other professional services industries
- Experience preparing proposals and marketing materials
- Experience coordinating trade shows, client events, or corporate events
