Job Title: Sales Assistant

Location: Santa Clara, CA

Office Hour: 8:30~17:00

Academic Skills/Knowledge/Experience:

Education & Basic Requirements

-Associate Arts Degree or equivalent post-high school level education (Bachelor’s degree preferred).

-Understand and master the internal "Order-to-Shipment" process to ensure smooth operational flow.

-Ability to quickly learn company products, ceramic material properties, and semiconductor manufacturing applications.

-Capacity to understand quality assurance standards and change management protocols.


Professional Experience

-1–3 years of experience in sales support, customer service, or administrative roles.

-Experience in sales operations via customer-specific platforms, including EDI systems, order entry, and demand forecasting.


Languages & Software Skills

-Proficiently communicate in writing and verbally using both English and Japanese languages.

-Intermediate to advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and ERP systems (e.g., SAP).

-Valid driver’s license and an acceptable driving record.


Physical Requirements:

-Frequent sitting and extensive use of a computer, monitor, and keyboard for data management and video conferencing.

-Ability to lift and move up to 25 pounds, such as product samples, trade show materials, or business equipment.


Essential Duties:

Customer Service & Sales Operations

-Accurately record customer order information and internal production status. Ensure all data is up to date in the system to maintain a single source of truth.

-Provide accurate delivery dates to customers based on the latest production and shipment information.

-Understand the end-to-end internal workflow from initial order receipt to final shipment. Coordinate with relevant departments to prevent bottlenecks.

-Act as a point of contact for customers regarding order requests, delivery schedules, and price inquiries.


Compliance & Other Duties

-Maintain organized customer files and history of past orders.

-Maintain high ethical standards and comply with all company policies, including IATF, ISO, and Non-Disclosure Agreements (NDA).


Supervisory Controls:

-Reports to: Manager or above.

-Work is performed under general supervision. The Manager provides initial direction, while the employee is expected to manage routine tasks and deadlines.

-Evaluated based on the accuracy of order management, the seamless execution of the internal shipment process, and effective coordination with Japan.


Technical Support:

-Training in internal and customer-specific systems.

-Access to external seminars, industry conferences, and professional development programs.
