Position Overview
A well-established food and beverage company is seeking a Office Coordinator to support the planning and operation of sake education programs, certification courses, events, and promotional activities.
This position will coordinate classes, student enrollment, educational materials, events, communications, and administrative tasks. The ideal candidate is highly organized, detail-oriented, and interested in sake, Japanese food culture, education, and event coordination.
Key Responsibilities
Program and Course Coordination
- Coordinate registration and communications with professional certification organizations, colleges, and educational institutions.
- Schedule and support sake education classes, certification programs, and examinations.
- Manage student enrollment, invoicing, class materials, shipping, and course-related communications.
- Prepare classrooms, training materials, sample sets, textbooks, and other supplies for each course.
- Communicate with instructors, students, certification organizations, and internal departments.
- Assist with examination administration and class supervision.
- Maintain accurate program records, reports, calendars, and registration information.
Educational Materials and Content
- Edit, update, and organize textbooks, PowerPoint presentations, training guides, and other educational materials.
- Ensure that course content is clear, accurate, and up to date.
- Maintain information and communications received from professional sake, wine, and beverage education organizations.
- Assist in creating new educational programs and ideas to attract additional students and industry professionals.
Events and Marketing
- Plan, coordinate, and support sake-related events, tastings, seminars, and promotional activities.
- Assist with outreach and marketing activities for courses and events.
- Maintain and update websites, social media accounts, newsletters, and promotional content.
- Research trends in sake consumption, education, certification programs, and customer demand.
- Recommend updates to course offerings and marketing strategies based on market research.
- Attend occasional company events, classes, and functions outside of regular business hours.
Administrative and Accounting Support
- Respond professionally and promptly to inquiries by email and phone.
- Provide administrative support to the department manager and team members.
- Assist with annual program calendars, budget summaries, reports, and recordkeeping.
- Use QuickBooks for basic bookkeeping, journal entries, invoicing, and related accounting tasks.
- Order supplies, manage inventory, assemble educational sample sets, and coordinate shipments.
- Operate standard office equipment, including computers, printers, scanners, and copy machines.
- Perform additional duties as assigned.
Qualifications
- High school diploma required; bachelor’s degree preferred.
- At least 1 year of related experience required; 3 or more years preferred.
- Business-level English communication skills required.
- Business-level Japanese communication skills preferred.
- Experience in program coordination, education, event planning, administration, customer service, marketing, or bookkeeping is highly desirable.
- Interest in sake, Japanese food, beverages, hospitality, or cultural education is preferred.
- Must be willing to complete designated sake certification courses within the first year of employment.
Knowledge and Skills
- Proficiency in Microsoft Office, including Excel, Word, PowerPoint, and Outlook.
- Familiarity with WordPress, Zoom, Microsoft Teams, and QuickBooks is preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to write and edit professional reports, articles, correspondence, and educational materials.
- Strong customer service and interpersonal skills.

Physical Requirements
