Job Title : sales operations

Position Summary

We are seeking a detail-oriented and proactive Sales Operations & Customer Support Coordinator to support order management, logistics coordination, and OEM customer account operations. This position will serve as a key liaison among customers, internal departments, and manufacturing sites in Japan to ensure smooth order fulfillment, on-time delivery, and efficient supply chain operations.


Key Responsibilities

1. Sales Administration & Order Management

  • Create and manage Sales Orders (SO) and Purchase Orders (PO)
  • Process sales transactions and issue customer invoices
  • Review and process customer POs through customer systems and portals, including PO acknowledgment
  • Maintain accurate order and customer records in ERP/customer systems

2. Delivery & Demand Planning Coordination

  • Coordinate delivery schedules with factories, primarily in Japan
  • Adjust shipment schedules based on customer required dates (Need Date)
  • Support forecast-based purchasing and inventory planning
  • Monitor order status and proactively communicate schedule changes

3. Shipping & Logistics Operations

  • Arrange domestic and international shipments
  • Track inbound/outbound shipments and manage logistics activities, including import/export coordination
  • Prepare shipping documentation and coordinate with headquarters in Japan
  • Work closely with freight forwarders and logistics providers to ensure timely delivery

4. OEM Customer Account Support

  • Support management of OEM customer accounts, especially key accounts
  • Monitor customer portals for demand forecasts and PO management
  • Coordinate customer requests related to shipments, delivery schedules, and invoicing
  • Maintain strong customer communication and ensure high service levels

5. Cross-Functional Coordination

  • Act as a liaison between Japanese factories and overseas customers regarding procurement, delivery schedules, and shipping matters
  • Coordinate with internal departments such as Sales, Accounting, and Logistics
  • Support smooth communication and issue resolution among all stakeholders

Qualifications

  • Experience in sales operations, order management, customer service, or supply chain coordination
  • Knowledge of logistics, shipping, and import/export processes preferred
  • Strong organizational and multitasking skills with attention to detail
  • Excellent communication and coordination abilities
  • Proficiency in Microsoft Office and ERP systems
  • Japanese language skills is a must.
