Location: Schaumburg, IL (Onsite)
Compensation: $25–$30/hour
Hours: Monday–Friday, 9:00 a.m. – 5:00 p.m. (1-hour unpaid lunch)

U.S.-based corporate office supporting administrative and operational functions for a global organization specializing in healthcare-related products. The office serves as a coordination hub for internal teams, executives, and visiting stakeholders.
Position Summary
This temporary role provides administrative and clerical support to maintain efficient daily office operations during a short-term coverage period. The position is strictly administrative and does not involve HR decision-making or strategic responsibilities.
Key Responsibilities
Reception & Office Support
- Greet and assist visitors; manage front desk activities
- Answer and route incoming calls and general inquiries
- Serve as a point of contact for basic administrative needs
Meeting & Scheduling Coordination
- Schedule meetings and manage conference room bookings
- Coordinate logistics including room setup, catering, and basic tech support
- Assist with visitor arrangements for on-site meetings
Office Administration
- Maintain organized filing systems (digital and physical)
- Prepare, copy, scan, and distribute documents
- Monitor and reorder office supplies; track inventory
- Coordinate with vendors and building management
- Support basic office equipment setup and troubleshooting
Travel & Expense Support
- Assist with travel arrangements (flights, hotels, transportation)
- Support preparation and submission of expense reports
General Administrative Support
- Provide clerical and administrative support to staff and leadership
- Perform routine tasks to ensure office continuity
- Handle additional administrative duties as assigned
Qualifications
Required:
- High school diploma or equivalent
- 1–3 years of administrative or office support experience
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Strong organizational skills and attention to detail
- Ability to manage tasks independently in a structured environment
- Professional communication skills
- Ability to handle confidential information
- Ability to communicate in both English and Japanese
- Must be currently authorized to work in the United States. No visa sponsorship is available for this role.
Preferred:
- Associate’s degree
Other Details
- Onsite, office-based role
- Ability to lift up to 20 lbs occasionally
- Not eligible for benefits due to temporary status
