Operations & Administrative Coordinator – Japanese bilingual

We are seeking an Operations & Administrative Coordinator to support our Los Angeles team during an exciting phase of expansion. This is a unique opportunity to join a founding U.S. team and play a key role in building operations from the ground up.
This role is ideal for someone with an accounting or finance background who is eager to broaden their experience into operations, HR coordination, marketing support, and cross-functional project management.
🌟 What You’ll Do
Finance & Accounting Support
- Manage daily AP/AR, vendor invoices, payments, and expense verification
- Support month-end closing and basic reconciliations
- Maintain accurate financial records in QuickBooks (or similar systems)
- Assist with budgeting, cost tracking, and financial reporting
- Help improve and streamline finance processes as the business grows
Operations & Administrative Support
- Coordinate office communications and correspondence
- Schedule meetings, prepare agendas, and document notes
- Support travel arrangements and team logistics
- Assist with business licenses, permits, and compliance documentation (LA County & City of Los Angeles)
- Contribute to operational improvements and cross-department initiatives
HR & Onboarding Support
- Support new hire onboarding and HR documentation
- Assist with employee engagement activities and internal record management
Marketing & Project Coordination
- Provide coordination support for marketing campaigns and local promotions
- Assist with social media initiatives and project timeline tracking
- Support cross-functional projects as needed
✅ What We’re Looking For
- Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field
- 3+ years of accounting, bookkeeping, or finance coordination experience preferred
- Proficiency in QuickBooks or similar accounting software
- Strong attention to detail and organizational skills
- Ability to work independently and collaboratively in a fast-growing environment
- Interest in expanding into operations, HR, and project coordination
- Experience in hospitality, retail, or food industry is a plus
- Business-level Japanese language proficiency (required)
- English fluency required
🌎 Work Environment
- Based in Torrance CA (on-site)
- Primarily desk-based role with occasional light office support tasks (up to 25 lbs)
- Regular collaboration with both U.S. and international teams

💰 Compensation
$72,000 – $85,000 annually | Exempt
