Position Summary
Responsible for coordinating air and ocean import shipments, supporting customs clearance processes, preparing documentation, and ensuring timely cargo release and delivery. This role requires strong attention to detail, effective communication with customers and carriers, and the ability to manage multiple shipments in a fast-paced logistics environment.
Key Responsibilities
Import Coordination
- Communicate with customers to obtain shipment details and documentation; follow up on outstanding information.
- Monitor carrier/airline/steamship arrival details and issue arrival notices.
- Coordinate with customs brokers for clearance and documentation processing.
- Prepare customs and in-bond documentation; arrange deliveries as needed.
- Expedite urgent shipments, send pre-alerts, and manage cargo release upon receipt of required documents/payment.
- Coordinate trucking and manage proof of delivery (POD).
- Support document breakdown and consolidation shipments as required.
Administrative
- Open and maintain import files; input freight, terminal, and related charges.
- Prepare and issue customer invoices and debit memos.
- Assemble brokerage and clearance documentation.
- Process T.E. entries, delivery orders, and entry authorization letters.
- Maintain reports and spreadsheets; scan and file documents accurately.
General Duties
- Maintain compliance with company policies and ethical standards.
- Report irregularities to management promptly.
- Participate in process improvement initiatives.
- Perform additional duties or special projects as assigned.
Qualifications
Required:
- High school diploma or GED.
- 1–2 years of experience in freight forwarding or logistics (air and/or ocean imports preferred).
- Basic knowledge of import documentation and customs processes.
- Proficiency in MS Office and general office systems.
- Strong attention to detail, organizational skills, and multitasking ability.
- Professional communication skills (verbal and written English).
Preferred:
- Experience working with customs brokers and EDI systems.
- Familiarity with T.E. entries and import compliance documentation.
Other Details
- Office-based work environment.
- Occasional Sunday work may be required on a rotation basis.
- Must be able to lift up to 25 lbs occasionally.
- No supervisory responsibilities.
- Must be currently authorized to work in the United States. No visa sponsorship is available for this role.
