Japanese Bilingual Administrative Assistant – Plano, TX

A U.S. subsidiary of a Japanese real estate company is seeking a Japanese bilingual Administrative Assistant to support daily office operations and finance-related administrative tasks.
This role focuses on general administrative coordination and operational support rather than advanced accounting functions. We are looking for someone with strong basic processing skills, sound judgment, and solid problem-solving ability.
You will report to the Manager and CEO/President and work closely with offices in the U.S. and Japan, as well as external accounting firms and headquarters in Japan.
This is a full-time position based in Plano, TX. Hybrid work is available; however, working from the office at least three days per week is expected. Part-time or flexible arrangements may be considered depending on qualifications and long-term commitment.

Key Responsibilities
Administrative Support
- Coordinate internal approval documents (travel, expenses, vendor payments) in Japanese
- Support scheduling, meetings, and travel arrangements
- Communicate with headquarters in Japan and external vendors
- Create and maintain Excel spreadsheets
- Handle general office administration (supplies, bookings, inquiries)
Financial & Processing Support
- Process invoices and payments through online banking systems
- Monitor bank transactions and assist with reconciliation
- Record daily expenses and petty cash in Excel
- Maintain documentation for external accounting firm review
- Support expense tracking and internal reporting
Compliance Support
- Assist with tax-related documentation
- Support internal compliance reviews and annual audits
- Prepare periodic reports for headquarters
- Maintain organized compliance-related documentation
Required Qualifications
- Strong Japanese language skills (spoken and written)
- English communication skills sufficient for workplace coordination
- 3+ years of experience working in a Japanese corporate environment
- Strong general administrative experience and processing ability
- Strong analytical thinking and problem-solving skills
- Proficiency in Microsoft Office (Excel, Word, Outlook, Teams)
- Organized, detail-oriented, and able to work independently
