General Position Summary

This position is responsible for supporting clerical duties for Sales Representatives by developing purchase orders, invoices, and other sales-related documents as well as responding to inquiries from customers.


Essential Job Functions

Sales Assistant:

  • Obtains necessary information from each Sales Rep. in order to prepare necessary documents such as quotations.
  • Prepares documents for daily shipment.
  • Prepares invoices when necessary and sends them out; processes payments.
  • Searches inventory records to determine if the products on hand are in sufficient quantity; updates inventory lists up-to-date.
  • Assures that the ordered products are delivered on schedule, at the negotiated price, and meets the quality standards of the company.
  • Responsible for the accurate entry, maintenance, and submission of purchase orders based on customer demand as well as stock replenishments.
  • Coordinates appropriate methods needed to distribute products in a cost-effective manner to and from the supplier.
  • Responsible for inventory control and any issues with purchased products.
  • Works with the freight forwarders regarding the warehouse activities in managing shipment schedule, flight delivery schedule, inventory levels, inventory receipts, physical inventory, product labeling, and packaging requirements.
  • Forecasts and reports the quantities and amounts of the products required to be purchased.
  • Prepares sales-related reports and submits them to the management.


Customer Service:

  • Responsible for answering customers’ questions and inquiries about the products.
  • Stays involved and works closely with customers for smooth transactions.
  • Receives and processes orders provide information regarding current pricing, changes in service, discontinuance of items, and shipping.
  • Identifies and resolves client concerns; Resolves customers’ complaints via phone and/or email.


Logistics:

  • Assembles customer orders, in accordance with specific requirements provided; ensures to complete them according to the shipping schedule provided.
  • Performs inspections to ensure no visible damages to the products and/ or inspection of counterfeit goods.


Industry Knowledge/Time Management:

  • Acquires and utilizes knowledge of the semiconductor industry and electronic components.
  • Improves time management skills to effectively manage time and increase productivity.


OTHER&MISCELLANEOUS

  • Seeks constant improvement, more efficient and less expensive ways and means in work processes. • Performs special projects and other miscellaneous duties as assigned by the Manager.
  • Maintains high ethical standards in the workplace.
  • Reports all irregular issues and problems to management for a solution.
  • Maintains good communication with management, office staff members, and outside contacts.


Education Experience

  • Bachelor’s degree (B.A.) from a four-year university; or equivalent combination of education and experience.


Work Experience

  • Related experience of three years or more in the Administration/Purchasing Department.
