Position Title: Sales Coordinator

Employment Type: Full-Time, Non-exempt

Work Style: Hybrid (3 days office, 2days WFH after 90 days of probation period)

Work hours: 9am-5pm (35h/week)

Pay: $45,000~$57,000/year

Language: English (Spanish is a plus)


Position Summary

This role is responsible for providing comprehensive customer service, order processing, sales support, and inventory control for multiple accounts. The position supports purchasing activities with domestic and international vendors, including pricing negotiations and order expediting, while ensuring accurate and timely shipment coordination.

Key Responsibilities

Order Management & Inventory Control

  • Process sales orders and purchase orders, including data entry and PO receipts
  • Manage inventory for assigned customers and investigate discrepancies
  • Generate shipment documentation (pick lists, packing slips)
  • Maintain customer and parts master files

Purchasing & Vendor Management

  • Source inventory components as needed
  • Negotiate pricing and terms with domestic and international vendors
  • Coordinate with vendors on order status, pricing, and delivery schedules
  • Expedite purchase orders to meet customer delivery requirements

Shipping & Logistics Coordination

  • Coordinate shipping arrangements with customers, vendors, and freight forwarders
  • Prepare domestic and international shipping documentation
  • Ship parts via courier or other appropriate methods
  • Process damage claims and resolve issues with vendors or carriers

Customer Support & Sales Assistance

  • Communicate proactively with customers regarding order status and related concerns
  • Prepare quotations and costing based on customer RFQs
  • Process customer shipment invoices
  • Support Sales Management with customer and vendor visits as needed

Cross-Functional Support

  • Assist Accounting with customer account inquiries and issue resolution
  • Support quarterly and year-end audit preparation
  • Participate in biannual physical inventory counts
  • Contribute to ISO procedure and work instruction updates
  • Support onboarding and training of new employees
  • Perform additional duties or special projects as assigned

Qualifications

  • High School Diploma or GED required
  • Minimum 4 years of experience in Purchasing, Customer Service, Inside Sales, or Inventory Control
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Word, Excel, Outlook, and general computer systems
  • Ability to quickly learn internal ERP or company systems
  • Typing speed of at least 45 WPM
  • Ability to work overtime and travel occasionally
  • English skill is a must. (Spanish is a plus)
