Payroll Specialist — Japanese Company

Location: New York, NY (Hybrid: 4 days onsite)

Hours: Mon–Fri, 9:00 AM–6:00 PM plus occasional overtime work

Salary: $65–$115K (DOE)


Payroll Specialist

A Japanese company is looking for a detail-oriented Payroll Specialist to manage accurate, end-to-end payroll processing for employees. This role plays a key part in ensuring payroll compliance, data integrity, and smooth payroll operations while partnering closely with HR, Finance, and external vendors.


Job responsibilities

Payroll Processing

  • Manage end-to-end payroll for salaried and hourly employees
  • Ensure payroll is processed accurately and on time
  • Review payroll data including new hires, terminations, salary changes, bonuses, commissions, and deductions

Compliance & Reporting

  • Ensure compliance with federal, state, provincial, and local payroll regulations
  • Manage payroll tax filings, remittances, and year-end processes (W-2s, T4s, etc.)
  • Stay current on payroll legislation and apply updates as needed

GL & Reconciliations

  • Prepare monthly payroll-related journal entries
  • Reconcile payroll accounts and resolve discrepancies
  • Partner with Finance on month-end and year-end close

Systems & Data Management

  • Maintain accurate and confidential payroll records
  • Support system updates, testing, and payroll audits
  • Respond to employee payroll inquiries with professionalism and clarity

Collaboration

  • Work closely with HR to ensure accurate employee data
  • Liaise with external payroll and benefits vendors
  • Provide payroll reporting and updates to Finance and leadership


Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field (preferred)
  • 5+ years of payroll experience with hands-on U.S. and Canada payroll processing
  • Strong knowledge of payroll regulations and tax requirements in both countries
  • Experience with payroll systems and HRIS platforms
  • High attention to detail and strong problem-solving skills
  • Ability to meet deadlines in a fast-paced environment
  • Strong communication skills and ability to work cross-functionally
