Location: Burlington, Ontario
Hours: Monday to Friday, 9:00 AM – 5:00 PM
Employment Type: Permanent, Full-Time
Compensation: $60,000–$65,000 per year + full benefits
About the Role
Our client in Burlington is seeking a bilingual Executive Assistant (Japanese/English) to provide professional administrative support to the President and the team.
This position offers a stable, long-term opportunity in a supportive environment where attention to detail, communication, and teamwork are valued. You’ll play a key role in facilitating smooth operations and cross-cultural communication within an international business setting.
Key Responsibilities:
Interpretation & Translation
- Translate complex technical and business documents (Japanese ↔ English) with accuracy and professionalism
- Provide real-time interpretation during meetings to ensure smooth communication between Japanese- and English-speaking participants
Office Administration
- Manage office supplies, handle mail and deliveries, and maintain an organized office environment
- Coordinate business travel arrangements and maintain staff travel schedules
- Track vacation schedules and help uphold office policies
Vendor & Facilities Management
- Coordinate repairs, maintenance, and building access with vendors and facility teams
- Maintain inventory of kitchen and stationery supplies
Front Desk & Events
- Greet visitors warmly and manage incoming calls in a professional manner
- Support company events, meetings, and team gatherings
Bookkeeping & Reporting
- Handle day-to-day bookkeeping transactions and reconciliations
- Prepare and distribute basic financial reports, resolving any discrepancies as needed
General Support
- Provide administrative support to the President and other team members as required
Qualifications:
- Minimum 2 years of office administration or related business experience
- Professional and positive attitude with excellent communication skills
- Strong organizational and multitasking abilities
- Able to work independently and as part of a team
- Problem-solving mindset and initiative to take ownership of tasks
- Fluent in Japanese and English (speaking, reading, and writing)
