Japanese Bilingual Project & Administrative Assistant
Location: Los Angeles, CA
Employment Type: Contract / Temporary
Pay: $21/Hr-$22/Hr
Schedule: Monday-Friday, approximately 7 hours per day
Work Style: Primarily On-site / Hybrid may be considered upon discussion
Position Overview
A public-sector organization supporting international business initiatives is seeking a Japanese-English Bilingual Project & Administrative Assistant for its Los Angeles office.
This role provides a broad range of administrative and project support, including meeting coordination, document preparation, database management, payment-related assistance, and social media support. It is a great opportunity for someone who enjoys working in a bilingual, international environment and supporting multiple projects and team members.
Key Responsibilities
Administrative & Project Support
- Review and coordinate internal communications and documents
- Assist with contract procedures, expenses, and payment processing
- Prepare reports, presentation materials, and other documents
- Provide general administrative and clerical support
- Organize documents and maintain filing systems
Coordination
- Communicate and coordinate with domestic and international offices, vendors, and business partners
- Schedule meetings and coordinate calendars
- Manage meeting information, visitor registration, and related communications
- Prepare and distribute meeting reports and follow-up materials
Database Management
- Collect and organize buyer and business contact information
- Enter, update, and maintain information in internal databases
Social Media Support
- Assist with managing social media accounts, including Instagram
- Create and edit selected social media content
- Post and share approved content
- Monitor and respond to comments and direct messages as appropriate
Other Support
- Assist with additional projects and general office duties as needed
Qualifications
- Business-level or higher proficiency in both Japanese and English
- Minimum 3 years of professional work experience
- Strong organizational, communication, and coordination skills
- Detail-oriented with the ability to manage multiple tasks and deadlines
- Ability to work independently while collaborating effectively with a team
- Comfortable communicating with internal and external stakeholders in both the U.S. and Japan
- Proficiency in Microsoft Word, Excel, PowerPoint, Teams, and Zoom
- Basic Excel skills, including formulas
- Familiarity with both Japanese and U.S. business practices
- Professional, responsible, and able to handle confidential information appropriately
- Willingness to learn and take initiative in supporting new projects
