Position Overview

A Japanese logistics company is seeking an experienced Air & Ocean Export Operations Staff / Assistant Manager to join its freight forwarding operations team in Jericho, NY.

This position will be responsible for handling both Air Export and Ocean Export operations, supporting day-to-day international freight forwarding activities and ensuring shipments are processed accurately, efficiently, and in compliance with applicable export requirements.

The ideal candidate has hands-on experience in both air and ocean export operations and is comfortable managing shipment documentation, coordinating with carriers and customers, and handling multiple export transactions in a fast-paced environment.

This is a fully on-site position due to the operational nature of the role and the need to handle physical shipping and export documentation.

Key Responsibilities

  • Manage day-to-day Air Export and Ocean Export operations from shipment coordination through documentation and billing.
  • Coordinate export shipments with customers, carriers, overseas offices/agents, and other parties involved in each transaction.
  • Prepare, review, issue, distribute, and maintain required export and transportation documentation.
  • Review country-specific export documentation requirements and ensure compliance with applicable export procedures and regulations.
  • Handle Ocean Export operations including FCL and LCL shipments, routing, rating, and documentation.
  • Coordinate Air Export shipments and ensure documentation and shipment requirements are completed accurately and on schedule.
  • Communicate shipment status, requirements, and exceptions clearly and professionally with customers and internal teams.
  • Build and maintain strong relationships with carriers to support competitive rates and quality service.
  • Ensure timely distribution of transportation documents and accurate freight billing.
  • Stay current on changing export rules, regulations, and operational procedures.
  • Support management with daily workflow, operational issues, and customer requirements.
  • Help maximize operational efficiency and profitability while maintaining high service standards.
  • Provide responsive and professional customer service.
  • Perform additional operational duties as assigned.

Qualifications

  • Prior experience in the freight forwarding industry is required.
  • Hands-on Air Export Operations experience is required.
  • Hands-on Ocean Export Operations experience is required.
  • Ability to independently support both Air and Ocean Export shipments.
  • Knowledge of international export documentation, procedures, and regulations.
  • Ocean freight knowledge including FCL, LCL, routing, rating, and documentation.
  • Strong attention to detail and accuracy, particularly when handling shipping and export documents.
  • Excellent organizational and time-management skills with the ability to manage multiple shipments and priorities.
  • Strong customer service and communication skills.
  • Ability to work effectively in a fast-paced, team-oriented environment.
  • Basic computer proficiency and experience with freight forwarding/operations systems.
  • Experience with CargoWise One is highly preferred.
  • Previous leadership, team coordination, or Assistant Manager-level experience is a plus.

Work Environment & Additional Requirements

  • This position requires on-site attendance five days per week at the Jericho, NY office.
  • Remote or hybrid work is not available for this position due to operational responsibilities, including the handling of physical shipping documents.
  • Candidates must be able to commute reliably to the Jericho office on a daily basis.
  • Due to the office location, access to a personal vehicle is strongly preferred.
  • The operations team works in an international environment with a strong Japanese presence. Candidates should be comfortable working collaboratively in a multicultural workplace.
  • Japanese language skills are not required. However, Japanese language ability or previous experience working with Japanese companies, colleagues, or business culture is a plus.
