Summary of the Position:
Our client is seeking a Japanese-English bilingual Store Development & Lease Administration Coordinator to support real estate, lease administration, and store development activities for approximately 40 retail locations.
This position will not primarily lead lease negotiations, but will play a key role in organizing lease-related information, coordinating internal approval processes, preparing reports and presentation materials, translating/interpreting between English and Japanese, and communicating with executives, Japan headquarters, internal departments, legal counsel, brokers, and lease-related stakeholders.
The ideal candidate has experience or strong understanding of lease administration, real estate contracts, store development, business planning, or related administrative coordination. Strong attention to detail, number sense, and the ability to explain lease terms and financial impact clearly are essential.
Key Responsibilities
- Manage and organize lease-related documents, renewal schedules, contract terms, option dates, rent changes, and key deadlines for existing and new store locations.
- Support lease review, contract execution, renewal, and internal approval processes by coordinating with internal teams, legal counsel, brokers, landlords, and other external parties.
- Prepare reports, summaries, spreadsheets, comparison charts, and presentation materials for executives and Japan headquarters.
- Translate and review lease-related documents, business proposals, approval materials, reports, and correspondence in both Japanese and English.
- Support P/L and business planning materials related to new store development, lease renewals, rent changes, initial investment, sales projections, labor costs, CAM, and other operating costs.
- Coordinate with departments such as Store Operations, Sales, Accounting, Merchandising, Facilities, Design, and Real Estate teams to collect information and ensure smooth project progress.
- Communicate lease renewal conditions, financial impact, and contract changes clearly to management and related stakeholders.
- Support tenant lease administration for company-managed retail properties, including existing tenant management and new lease coordination as needed.
- Assist with ad-hoc real estate, lease, store development, and administrative projects as assigned.
Qualifications
- Japanese and English bilingual skills are required.
- Prior experience in lease administration, real estate, property management, contract administration, legal support, store development, business planning, or administrative coordination is preferred.
- Understanding of lease agreements, contract renewal processes, real estate-related documents, or internal approval processes is highly preferred.
- Ability to work with numbers and review financial/business data accurately.
- Experience with P/L, business plans, sales projections, rent, CAM, labor cost, initial investment, or other financial data is a plus.
- Strong Microsoft Office skills, especially Excel, Word, and PowerPoint.
- Ability to create clear spreadsheets, comparison charts, reports, and executive-level presentation materials.
- Strong communication and coordination skills with the ability to work across multiple departments and stakeholders.
- Highly detail-oriented, organized, and able to manage multiple projects and deadlines.
- Flexible and proactive mindset with the ability to handle irregular situations and follow up until completion.
Nice to Have
- Experience supporting lease or real estate matters at a law firm, retail company, property management company, or real estate-related business.
- Experience working with Japanese headquarters or Japanese executives.
- Experience supporting store openings, lease renewals, tenant leases, or retail expansion projects.
Travel
Occasional local travel within the Los Angeles area may be required.
Business travel may be required for new store-related projects. Some trips may last up to approximately 10 days.
