An international company in Houston is seeking a Japanese Bilingual Administrative Assistant to support the IT department. This role provides administrative and operational support including vendor coordination, procurement support, asset tracking, budgeting assistance, and communication with Japan headquarters.
Key Responsibilities
Provide administrative and coordination support to the IT department
Communicate with Japan headquarters in Japanese and English
Coordinate with vendors for quotes, equipment orders, deliveries, and returns
Support procurement processes including purchase requisitions and purchase orders
Maintain IT asset, hardware maintenance, and software license records
Assist with budget tracking and cost control
Prepare reports and maintain spreadsheets for purchases and inventory
Assist with invoice processing and coordination with accounting teams
Provide translation and interpretation support (Japanese / English) when needed
Qualifications
Required
Japanese / English bilingual (professional level)
5+ years of administrative or office support experience
Strong organizational and communication skills
Proficiency in Microsoft 365 (Excel, Word, Outlook, Teams)
Preferred
Administrative experience supporting an IT or technical department
Experience with procurement, vendor coordination, or asset management
Experience with ERP systems or ticketing systems (e.g., ServiceNow)
Work Schedule
Monday – Friday, 8:00 AM – 5:00 PM (Onsite)
Monthly evening meeting (around 7:00 PM) with Japan HQ (paid; remote attendance allowed).
