TITLE: Administrative Coordinator – Japanese Bilingual – Part time

Pay: $18 – 23/hour

Part-time, Non-Exempt

Work Schedule: 3-4days/week, 9:00am – 4:00pm (1 hour lunch break)

LOCATION: Torrance, CA

Overview:

Support day-to-day operations by handling order processing, licensing/marketing admin, inventory tracking, logistics coordination, and customer support. Keep schedules organized and help improve processes for accuracy and efficiency.

What You’ll Do

  • Orders & Invoicing: Enter and manage sales orders, create invoices, and track shipments.
  • Logistics: Coordinate with carriers and customs to ensure on-time deliveries.
  • Retail/Distributor Setup: Share and maintain product info needed for account setups.
  • Sales & Inventory Reports: Compile weekly/monthly data, run analyses and forecasts, and manage inventory levels.
  • Chargebacks/Infractions: Assist with retail shipment issues and dispute resolutions.
  • Customer Support: Respond to inquiries and troubleshooting/replacement requests; summarize trends for leadership.
  • Purchasing: Create POs with overseas offices to replenish stock.
  • General Admin/Accounting: Complete assigned administrative and basic accounting tasks.
  • Self-Management & Teamwork: Prioritize weekly/monthly schedules, work independently, and collaborate respectfully with teammates.
  • Process Improvement: Suggest and support efficiency improvements across admin and accounting workflows.
  • Other duties as assigned to support business operations.

Administrative Support:

  • Experience handling orders, shipments, and basic logistics coordination.
  • Comfort working with sales data, reports, and inventory tracking.
  • Clear communication and customer-service mindset.
  • Strong organization, attention to detail, and ability to prioritize.
  • Ability to work independently while partnering well with others.
