The Executive Assistant provides high-level administrative and operational support to the President. This role requires strong judgment, discretion, bilingual communication skills (Japanese and English), and the ability to manage complex schedules, communications, and confidential matters in a fast-paced environment.
Key Responsibilities
Serve as the primary liaison between the President and the parent company in Japan
Screen, prioritize, and respond to emails in both Japanese and English on behalf of the President
Translate documents and provide interpretation support as needed
Prepare and draft high-quality presentations and executive-level materials
Manage calendars, schedule appointments, and coordinate meetings
Coordinate domestic and international travel, expense reports, and invoice processing
Organize and maintain highly structured electronic and physical filing systems
Prepare agendas, meeting materials, and record meeting minutes
Handle confidential and sensitive information with professionalism and discretion
Greet visitors and manage executive-level communications
Answer and screen phone calls, arrange conference calls, and take accurate messages
Support special projects and additional assignments as needed
Qualifications
Bachelor’s degree or equivalent combination of education and administrative experience (5+ years preferred)
Fluent verbal and written communication skills in Japanese and English (Japanese at an idiomatic level)
Strong organizational, time management, and problem-solving skills
Ability to manage multiple priorities independently in a dynamic environment
Professional presence with strong interpersonal and communication skills
High attention to detail and commitment to quality
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Work Environment
Office-based role with standard office equipment
Requires sitting, standing, walking, and occasional lifting (up to 10 lbs)
