Business Coordinator/Import-Export Coordinator for a Global Trading Company in Costa Mesa, CA

Work hours: M-F 9:00-17:00 (including 1 hour lunch – actual work 35 hrs/week)

Work hours can be flexible: 8-4, 9-5 or 10-6

Hybrid base: Mon-Thu at the office, can work from home on Fridays

Occasional Overtime: Yes

Pay: $25-30/hour (DOE)

Job Summary:

We are seeking a highly organized and detail-oriented Business Coordinator to support sales operations. The ideal candidate will have experience in import/export operations, international and domestic freight management, and inventory control, as well as strong skills in data entry, invoicing, and customer service. Proficiency in ERP systems, Microsoft Excel and Outlook, and a solid understanding of Incoterms are essential for this role.

Key Responsibilities:

  • Import/Export Operations: Coordinate deliveries with customers, vendors, and shipping companies for both ocean and air freight, ensuring smooth transportation and compliance with trade regulations.
  • Data Entry: Process purchase orders, sales orders, and invoices, maintain customer and product information, and update records using the ERP system.
  • Customer Service: Provide timely support to customers by responding to inquiries, updating order statuses, and ensuring excellent communication.
  • Invoicing: Generate and issue invoices to customers upon shipment of orders, ensuring accuracy and timely processing.
  • Inventory Control: Monitor and manage inventory levels, ensuring stock accuracy and proper tracking within the ERP system.
  • Other administrative support duties may be assigned

Job Requirements/Qualifications:

  • Japanese Bilingual – preferred, but not required
  • 1-3 years of experience in Import/Export operation with Ocean and Air
  • Excellent communication skills (both verbally and written)
  • Good organizational skills and highly detailed personality
  • Strong understanding of Incoterms
  • Purchasing, Invoicing and Inventory experience
  • High level of customer and vendor interaction
  • ERP (SAP) experience is a big plus.
  • Ability to work with accounting department to streamline tasks
