Position Summary
A global Japanese-affiliated company in New York City is seeking a Japanese bilingual Executive Assistant to provide high-level administrative support to a senior executive and the CEO Office.
The ideal candidate will demonstrate exceptional professionalism, discretion, and strong organizational skills, and will be comfortable supporting executives in a fast-paced, international business environment.
Key Responsibilities
Provide dedicated executive-level administrative support to a senior executive and their team
Proactively manage calendars, schedule meetings, and coordinate complex domestic and international travel
Prepare and submit expense reports, process invoices, and support financial administrative tasks
Handle phone calls, emails, and correspondence with a high level of professionalism and confidentiality
Perform general administrative duties including filing, copying, shipping, office supply ordering, and basic IT setup
Coordinate on-site and off-site meetings and events, including venue research, catering, and AV/technology arrangements
Prepare, organize, and maintain meeting materials, reports, and presentations
Host and coordinate visits from internal and external stakeholders, including overseas headquarters executives
Serve as backup support to other administrative staff as needed
Provide limited remote support during evenings or weekends when required
Required Qualifications & Skills
Bachelor’s degree preferred
2–3 years of administrative or executive assistant experience preferred
Fluent in Japanese and English
Strong proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
Excellent organizational, time-management, and multitasking abilities
Strong communication and interpersonal skills
High level of discretion, sound judgment, and confidentiality
Ability to work effectively in a fast-paced, deadline-driven environment
