Job Responsibilities
Business Support Services
Mini Research Support
Handle mini research requests, consulting with supervisors as necessary. Through Company’s contact offices, identify the needs of inquiring companies and conduct data searches, interviews, field research, and document preparation, as well as related communication and coordination.
Briefing Service Desk Support
Receive briefing requests and assign them to the appropriate departments and staff based on the content. Ensure that each briefing request is carried out smoothly and maintain records of responses.
Inquiry Response
Respond to inquiries from companies and other organizations while consulting with supervisors as necessary. Conduct desktop research using web sources and databases, review federal and state government materials, and provide appropriate responses. When necessary, deepen understanding of Company’s services and programs in order to introduce them. Maintain records and compile response summaries.
Support for Overseas Expansion of Japanese Companies
Under the direction of supervisors, assist with the operation of seminars, exhibitions, and various events for Japanese companies, including coordination, preparation, and setup.
Accounting Duties
Use Company’s accounting system to manage the PA Department budget and closely coordinate with staff in each team within the department.
Prepare payments in accordance with accounting regulations and guidelines (document preparation and organization), process vouchers, coordinate with the internal accounting department, and respond to other internal accounting requirements.
Calculate and verify travel expenses and reimbursement forms.
General Administrative Duties
Prepare various reports and maintain and organize equipment registration ledgers.
Create business cards and schedule meetings.
Answer telephone calls and handle or route external inquiries.
Perform other necessary administrative tasks.
Qualifications
BA / College degree or higher
Ability to perform duties in both Japanese and English, with an international mindset
Ability to perform tasks accurately and reliably, even during busy periods
Ability to prepare reports and provide accurate and timely reporting
Strong analytical thinking, attention to detail, productivity, and a high regard for confidentiality and reliability
Strong communication skills and a team-oriented mindset
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and familiarity with accounting software
Experience in data collection and analysis, and coordination of promotional events or PR activities (preferred)
Compensation
$28.57 per hour (starting hourly wage) + discretionary bonus
Working Hours / Work Arrangement
Working hours: 9:00 AM – 5:00 PM (Lunch break: 12:00 PM – 1:00 PM), 35 hours per week
Work arrangement: At least 3 days per week in the office; up to 2 days per week remote work
