Title: Administrative Assistant (Bilingual Japanese/English) – Honolulu, HI
Work Hour: 9:00~17:30 M-F
Salary: $20/Hr + Benefit
Work Location: Waikiki (Hybrid 2 days remote per week)
Position Summary
As an Administrative Assistant, you will support a variety of administrative, internal control, and accounting-related tasks. This role plays an important part in ensuring efficient office operations, accurate reporting, and strong internal compliance.
Key Responsibilities
- Manage incoming and outgoing mail, including overnight shipments and messenger arrangements
- Prepare commercial invoices for international shipments (non-document packages)
- Track UPS/FedEx shipments regularly and follow up as needed
- Coordinate with internal teams for office-related requests (repairs, equipment removal, parking, building matters, etc.)
- Create daily reports and manage various office ledgers
- Support internal audits and assist with audit preparation
- Assist with User ID management and administrative compliance tasks
- Update administrative procedures and manuals in both Japanese and English as needed
- Support accounting-related tasks such as invoice processing, reimbursements, and corporate card processing
- Assist with lounge-related sales support and reconciliation tasks (as assigned)
- Provide general administrative support to other departments and perform additional duties as needed
Qualifications
Required
- 1–2 years of experience in an administrative or office support role
- Bilingual ability: able to read and write in Japanese and English
- Strong attention to detail and accuracy in daily work
- Ability to handle multiple tasks and work effectively under pressure
- Professional communication skills and a cooperative, team-oriented mindset
Preferred
- Experience supporting accounting-related tasks (invoices, reimbursements, corporate card processing)
- Familiarity with office procedures, reporting, and internal compliance support
