Position Overview

We are seeking a highly reliable and hands-on Accounting / Administration Manager to support the Vice President, who also serves as the Business Operations Director. This role is a core operational position responsible for overseeing day-to-day accounting functions, office administration, and executive support.

While titled “Manager,” this is not a managerial-track or department-head role. Instead, it is a key individual-contributor role with direct supervisory responsibility for one staff member, requiring strong ownership, discretion, and cross-functional coordination.

The position works closely with both domestic and overseas offices and therefore requires business-level Japanese and English proficiency.


Key Responsibilities

Accounting & Finance

  • Oversee and manage Accounts Receivable and Accounts Payable (AR/AP) processes
  • Process invoices, vouchers, deposits, and payments accurately and on schedule
  • Prepare and issue payments to suppliers and partners while maintaining accurate financial records
  • Support special accounting cases, including RMAs, credits, and other non-routine transactions
  • Assist with monthly close activities, reconciliations, and related data entry
  • Identify, investigate, and report accounting discrepancies or irregularities
  • Proactively recommend and implement process improvements, including effective use of the ERP system

Executive Support & Office Administration

  • Provide direct operational and administrative support to the Vice President
  • Coordinate hiring activities, including interview scheduling and documentation
  • Manage employee onboarding and offboarding processes
  • Act as a key liaison between U.S. operations and overseas offices
  • Support general office operations and cross-functional administrative needs
  • Assist with internal coordination related to office management and daily business operations

Supervision

  • Supervise one direct report, including task assignment, daily guidance, performance feedback, and progress tracking

General & Cross-Functional Responsibilities

  • Independently manage assigned responsibilities within a defined scope
  • Handle confidential financial, HR, and management information with professionalism and discretion
  • Balance multiple priorities and adjust quickly to changing business needs
  • Support special projects and perform other duties as assigned by management

Supervisory Responsibility

  • Yes – one direct report

Qualifications

Required

  • Bachelor’s degree or equivalent combination of education and relevant work experience
  • Experience in accounting, finance, and/or administration or business operations
  • Japanese language proficiency (business level: speaking, reading, and writing)
  • Business-level English proficiency
  • Proficiency in Microsoft Office (Excel, Word, Outlook)

Preferred

  • Experience supporting executives or senior management
  • Experience coordinating with overseas offices
  • Experience using ERP systems
