The Import Coordinator manages import shipments from booking through final delivery. This role coordinates with customers, overseas agents, carriers, and customs brokers to ensure timely transportation, accurate documentation, and efficient customer service.

Key Responsibilities

Import Operations & Documentation

  • Coordinate shipment bookings, transportation arrangements, customs clearance, and final delivery.
  • Prepare and distribute arrival notices, import documents, and customs-related paperwork to customers and brokers.
  • Complete shipment documentation and invoicing within required deadlines.
  • Enter shipment information accurately into internal systems.
  • Track cargo, confirm deliveries, and communicate shipment updates.
  • Negotiate transportation rates and coordinate with carriers and overseas agents.
  • Assist customers with Importer Security Filing (ISF) requirements and check shipment status in the Automated Manifest System (AMS).
  • Handle shipment claims and resolve delivery issues.

Customer Service

  • Respond promptly and professionally to customer inquiries by phone and email.
  • Coordinate with consignees and other parties to support on-time delivery.
  • Respond to communications within 24 hours or escalate to the supervisor when necessary.
  • Maintain accurate records of customer interactions.
  • Support existing customer relationships and identify opportunities to expand business.

Administrative & Accounting Support

  • Prepare reports, maintain files, and perform general administrative duties.
  • Issue invoices and support payment collection.
  • Assist with accounts payable and accounts receivable processing.
  • Report customer incidents and operational issues promptly.
  • Recommend improvements to import operations and support team members as needed.

Qualifications

  • Bachelor’s degree in a related field or equivalent work experience.
  • Logistics, import operations, or customer service experience is preferred. Entry-level candidates are also encouraged to apply.
  • Strong written and verbal communication skills in English.
  • Proficiency in Microsoft Word, Excel, and other basic computer applications.
  • Strong attention to detail, organization, and time management.
  • Ability to handle multiple tasks, meet deadlines, and solve problems.
  • Professional, tactful, and flexible approach to working with customers and colleagues.
  • Ability to understand business documents and relevant procedures.
  • Knowledge of NVOCC operations, customs clearance, or hazardous materials transportation is a plus.

Work Environment

  • Primarily office-based work involving computer use and customer communication.
  • May involve lifting or moving items weighing 15 pounds or more.
  • Occasional work beyond regular business hours may be required.
  • No business travel is anticipated for this opening.
