Company Overview

A well-established trading and distribution company in the food industry specializing in imported consumer and commercial goods is seeking an Office Manager to support its U.S. operations. The company works closely with customers, vendors, sales teams, and internal departments to manage order processing, administrative operations, accounting support, HR administration, and purchasing coordination.

Position Summary

The Office Manager will manage and support office administration, accounting-related functions, sales support activities, HR administration, cash handling, month-end/year-end closing support, purchasing assistance, and general office operations. The role will supervise an Assistant Manager and relevant office staff while ensuring smooth and accurate workflow across departments.

Key Responsibilities

  • Manage, supervise, and support Office Administration and Accounting staff
  • Oversee sales support operations, including invoice processing, pick ticket output, sales inquiries, and customer complaint handling
  • Manage HR-related tasks, including payroll, onboarding, offboarding, workers’ compensation matters, and other employee administration
  • Oversee daily office operations, including supervision of the Assistant Manager and other responsible staff
  • Provide hands-on support for administrative and operational tasks as needed
  • Manage cash handling and related controls
  • Supervise and support month-end/year-end closing processes
  • Assist purchasing staff with related duties
  • Respond to additional office, administrative, HR, accounting, or sales support needs as required

Qualifications

Required:

  • Business-level Japanese and English language ability and communication skills
  • Experience in office administration, accounting support, HR administration, sales support, or related business operations
  • Supervisory or team management experience
  • Strong organizational, multitasking, and problem-solving skills
  • Ability to handle confidential information accurately and professionally
  • Proficiency with general office systems and business documentation

Preferred:

  • Experience managing payroll, onboarding, offboarding, or workers’ compensation processes
  • Experience supporting accounting close processes
  • Experience with invoicing, pick tickets, purchasing, or sales administration
  • Experience supervising administrative, accounting, or office support staff
