Job Title: Project Coordinator, Business Development (Full-Time)

Work Schedule

  • Full-time, Monday through Friday (9:00 AM – 5:00 PM with 1h unpaid lunch)
  • Hybrid work model: minimum 3 days in-office, up to 2 days remote (100% office during onbaording period)

Position Summary

We are seeking a proactive and detail-oriented Project Coordinator to support business development initiatives between the U.S. and Japan. This role focuses on promoting foreign direct investment (FDI) into Japan, facilitating cross-border business partnerships, and supporting strategic initiatives in high-value industries such as biotechnology, advanced manufacturing, IT, and environmental energy.

The position also includes administrative and coordination support for senior leadership, along with planning and executing business events, research activities, and stakeholder engagement efforts.

Key Responsibilities

Business Development & FDI Promotion

  • Develop new business leads and partnerships through outreach efforts (calls, emails, trade shows, and seminars)
  • Maintain and strengthen relationships with existing clients and partners by providing market insights and relevant resources
  • Build and expand business alliances across key industries including Life Sciences, IT, and Advanced Manufacturing
  • Plan and execute seminars, conferences, exhibitions, and business meetings
  • Manage CRM systems, update client data, and prepare regular activity reports
  • Oversee outsourced vendors and lead-generation partners to ensure performance targets are met
  • Prepare presentations, reports, newsletters, and promotional materials related to trade and investment initiatives

U.S.–Japan Business Collaboration

  • Support market entry and expansion of companies through research, partner identification, and program coordination
  • Facilitate business matching, joint ventures, and collaborative projects between U.S. and Japanese organizations
  • Conduct market research and provide advisory support tailored to client needs
  • Assist in organizing trade promotion events, webinars, and international exhibitions

Administrative & Operational Support

  • Coordinate meetings, travel arrangements, and internal communications
  • Respond to external inquiries and provide timely, accurate information
  • Prepare business reports, media content, and market intelligence materials
  • Track and analyze daily activities to support management decision-making
  • Provide general administrative and project support as needed

Qualifications

  • Bachelor’s degree or higher
  • Authorization to work in the United States
  • A few years of experience in business development or outside sales is preferred
  • Valid driver’s license
  • Ability to travel mainly in MW as needed (with drive and flight. 2-3 times a month)

Required Skills

  • English at an idiomatic level (written and verbal)
  • Strong communication, presentation, and interpersonal skills
  • Highly organized with the ability to manage multiple projects simultaneously
  • Strong analytical, research, and problem-solving abilities
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Detail-oriented with strong documentation and reporting skills
  • Strategic mindset with the ability to identify and develop business opportunities

Japanese language and cultural knowledge is a plus but not required

Compensation & Benefits

  • Annual salary: $55,200
