Job Title: Administrative & HR Assistant

Pay: $22–25 per hour (negotiable. 7.5 hours/day, holiday pay provided)
Work Schedule: Monday – Friday, 9:00 AM – 5:30 PM (flexible/negotiable)
Position Summary
We are seeking an Administrative & HR Assistant to support overall office operations, including administration, basic IT coordination, accounting support, and HR-related functions. This role is ideal for someone who is adaptable, detail-oriented, and enjoys supporting a wide range of business functions in a team-oriented environment.
Key Responsibilities
Office Administration
- Provide general administrative support to ensure smooth office operations
- Manage office supplies, equipment, and vendor coordination
- Serve as a point of contact for building management and office-related matters
- Handle mail, packages, phone calls, and visitors
- Coordinate office maintenance and general services
- Support visitors with travel and accommodation arrangements as needed
- Maintain filing systems and assist with administrative tasks
Basic IT Support (Non-Technical)
- Coordinate with internal IT and external vendors
- Support onsite vendor visits and equipment setup coordination
- Assist with distribution and tracking of IT equipment
- Manage office access cards and basic IT inventory
- ※ No advanced IT knowledge required
Accounting Support (Basic)
- Issue checks and assist with deposits
- Support fixed asset tracking and inventory
- Assist with expense-related administrative tasks
- ※ Responsibilities are routine and administrative in nature
HR & General Affairs Support
- Assist with onboarding and employee documentation (including I-9)
- Support benefits-related administration and internal communications
- Coordinate company events and employee engagement activities
- Assist with company vehicle coordination and related documentation
- Maintain internal records, directory, and company calendar
- Support time tracking and administrative HR processes
- ※ HR responsibilities are primarily administrative
Qualifications
Preferred:
Japanese bilingual skills or experience working with Japanese companies
Education
- High school diploma or equivalent required; associate degree or higher preferred
Experience
- At least 1 year of administrative or related experience
