Position Overview
We’re looking for a detail-oriented and service-minded bilingualOffice Associate to help keep our branch office running smoothly. This entry-level role is perfect for someone who enjoys a mix of administrative support, customer service, and coordination across teams. No two days are exactly the same — and that’s part of the fun.
You’ll play a key role in supporting office operations, assisting sales and warehouse teams, and ensuring customers and vendors receive outstanding service.
Key Responsibilities
Process Sales Orders and Purchase Orders using Oracle
Review and ensure accurate order processing
Respond to customer and sales inquiries, including A/R questions
Process customer payments (checks and cash)
Prepare vendor payment orders
Verify inventory availability
Organize delivery and receiving documentation
Maintain accurate filing systems per SOP standards
Provide reception support (greet visitors, answer calls, route messages)
Support sales, warehouse, and office teams with administrative tasks
Assist with quarterly physical inventory (may include occasional weekend support)
Follow and reference company SOPs as needed
Communicate effectively with internal teams and external partners
Qualifications
Must be bilingual in English + an Asian language
Strong organizational and multitasking skills
Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
Accurate data entry skills with moderate typing speed
Clear and professional communication skills (phone, email, in-person)
Ability to prioritize tasks and meet deadlines
