Company Overview
An electronics device trading and procurement services company is seeking an Inside Sales Coordinator to support customer accounts, purchasing activities, order processing, inventory control, and logistics coordination.
Position Summary
The Inside Sales Coordinator will manage day-to-day sales support and procurement activities for assigned customers. This role works closely with customers, domestic and international vendors, freight forwarders, accounting, and internal teams to ensure accurate order processing and timely delivery.
Key Responsibilities
- Process customer sales orders and enter order information accurately into the system
- Purchase parts and components based on customer requirements and inventory needs
- Communicate with domestic and international vendors regarding purchase orders, pricing, availability, and delivery schedules
- Expedite purchase orders and follow up with vendors to ensure on-time delivery
- Negotiate vendor pricing when appropriate and prepare customer quotations
- Monitor and manage inventory levels for assigned customer accounts
- Investigate and resolve inventory discrepancies
- Prepare shipping documents including pick lists, packing slips, and domestic or international shipping documentation
- Coordinate shipments with customers, vendors, freight forwarders, FedEx, UPS, and other logistics providers
- Provide customers with order status, delivery updates, and assistance with order-related issues
- Process customer invoices and maintain customer and product information in the system
- Utilize EDI functions for order and transaction processing as needed
- Coordinate product returns, damaged shipment claims, and vendor resolutions
- Support the Accounting Department in resolving customer account or invoice issues
- Assist with physical inventory counts and audit preparation
- Provide general administrative and sales support and assist with special projects as assigned
Qualifications
- Minimum 2-3 years of experience in purchasing, customer service, inside sales, inventory control, or a related field
- Strong written and verbal communication skills
- Japanese language skills are preferred, but not required.
- Strong Microsoft Office skills, particularly Excel
- Experience working with purchase orders, sales orders, inventory, and shipping documentation preferred
- Experience communicating with domestic and international vendors is preferred
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Strong attention to detail and accuracy
- Strong organizational, follow-up, and problem-solving skills
- Ability to work independently with minimal supervision
- Professional and customer-service-oriented communication style
- Strong teamwork skills and a dependable work ethic
