Office & Logistics Operations Coordinator

Location: Montvale, NJ (Onsite)

Salary: $55,000 base salary + bonus

Language: English required. Japanese language skills preferred, but not required.

Position Overview

A Japanese trading company is seeking an Office & Logistics Operations Coordinator to join its team in Montvale, New Jersey.

This position is responsible for providing administrative support as well as performing logistics functions, including freight transportation arrangements, documentation processing, inventory control, and customer service.

Essential Job Functions

Logistics Operations

  • Verify incoming and outgoing shipments and ensure the accuracy of logistics documents.
  • Handle import/export procedures, transportation arrangements, and schedule management.
  • Prepare and manage B/L (Bill of Lading), L/C (Letter of Credit), and customs-related documents.
  • Track shipment status and communicate promptly with related parties, including customers, suppliers, carriers, and internal staff.

Inventory Control

  • Manage delivery and shipping schedules to maintain appropriate inventory levels.

Customer Service

  • Communicate with customers via phone, email, or in person.
  • Respond to inquiries, handle complaints, and adjust delivery schedules.
  • Track shipments and provide prompt, professional support to maintain customer satisfaction.

General Administrative Duties

  • Handle incoming and outgoing mail, phone calls, and faxes.
  • Organize documents, make copies, and greet visitors.
  • Perform other administrative duties as needed.

Qualifications

Communication Skills

  • Ability to effectively respond to questions from management, staff, clients, and the general public in English.
  • Ability to communicate effectively, both verbally and in writing, with individuals and groups in English.
  • Japanese language skills are preferred, but not required.

Mathematical Skills

  • Ability to apply concepts of basic algebra and geometry and to draw and interpret bar graphs.

Reasoning Skills

  • Ability to apply knowledge and understanding to carry out detailed written or oral instructions.
  • Ability to analyze and work with various documents, including contracts and purchase orders.

Computer Skills

  • Proficiency with computers and Microsoft applications, including Windows, Word, Excel, Outlook, and PowerPoint.
  • Ability to design custom reports as necessary.

Other Skills

  • Must be tactful, mature, and flexible.
  • Ability to successfully manage and respond to multiple work pressures.
