Compensation: $65–$67/hour

Hours: Primarily standard business hours (9:00 AM–6:00 PM); occasional early evening meetings with Japan teams required.

Company Overview

A global mobility and technology organization is seeking a Project Coordinator to support its Strategic Investment and Venture Partnerships team. This role contributes to startup engagement, corporate venture operations, project coordination, and cross-functional collaboration within an open innovation environment.

Position Summary

The Project Coordinator supports legal and contract coordination, vendor management, event operations, startup research, deal flow management, and operational projects. Professional Japanese language ability is required to facilitate communication between North American and Japan-based stakeholders and support cross-border venture initiatives.

Key Responsibilities

  • Coordinate legal and contractual processes, including NDAs, MSAs, SOWs, diligence letters, event agreements, and related documentation.
  • Serve as a liaison between startups, legal teams, vendors, and internal stakeholders.
  • Coordinate vendor agreements for accelerator programs, research platforms, software providers, and university partners.
  • Plan and execute internal workshops, external events, sponsorships, and related logistics, including venue coordination, catering, registration, and materials.
  • Support purchase requests, payment processing, budget tracking, expense coordination, and corporate purchasing card administration.
  • Conduct startup research and identify new investment opportunities while maintaining accurate deal flow data in Salesforce and related systems.
  • Manage assigned operational projects, business tools, subscriptions, and process improvement initiatives.
  • Prepare and distribute internal activity updates and support communication across global teams.
  • Foster effective collaboration by bridging linguistic, cultural, and business communication between North America and Japan.

Qualifications

Required:

  • Professional Japanese and English language ability required.
  • Bachelor's degree or equivalent combination of education and relevant experience.
  • Minimum two years of experience in project coordination, business operations, contract coordination, vendor coordination, event coordination, or a related field.
  • Ability to manage multiple priorities while coordinating with cross-functional and global stakeholders.
  • Strong organizational skills, attention to detail, and ability to work independently.
  • Proficiency with Microsoft Office, including Excel, Word, and PowerPoint.

Preferred:

  • Experience with project management or task tracking tools.
  • Familiarity with SharePoint, Confluence, Jira, Salesforce, Crunchbase, PitchBook, or similar business platforms.
  • Experience or understanding of startups, venture capital (VC), corporate venture capital (CVC), open innovation, or strategic investment ecosystems.
  • Experience connecting market intelligence and startup research to business strategy.
  • Ability to adapt in a fast-paced, evolving environment and quickly learn new systems and workflows.

Other Details

  • Reports to the Managing Director, Strategic Investment and Venture Partnerships.
  • Primarily follows standard business hours with flexibility for occasional meetings outside normal hours due to international collaboration.
