Position: Administrative Assistant (Part-time)

Location: Los Angeles | Hybrid 2times/week onsite

Summary of the Position

Our client is seeking a reliable and detail-oriented Administrative Assistant to support daily operations for their U.S. office. This position will handle a variety of administrative duties, expense reimbursement coordination, payment-related documentation, and communication with the Japan headquarters.

The role also includes light support for real estate-related projects such as organizing market information and preparing internal materials. This is an ideal opportunity for someone who is flexible, organized, and comfortable working independently in a small business environment.

Breakdown of Responsibilities

  • 70% Administrative & Office Support
  • 20% Expense Reimbursement / Payment Coordination
  • 10% Real Estate Support

Key Responsibilities

Administrative & Office Support

  • Provide day-to-day administrative support for U.S. operations
  • Organize and maintain documents, records, and internal files
  • Prepare presentation materials, reports, and internal documents
  • Coordinate communication with internal teams, vendors, and external parties
  • Support general office operations and back-office functions

Expense Reimbursement & Payment Coordination

  • Review and organize employee expense reimbursement submissions
  • Prepare internal approval and authorization documents
  • Track approval requests and payment schedules
  • Assist with routine payment-related administrative tasks
  • Coordinate basic communication with external vendors

Japan Headquarters Coordination

  • Communicate and coordinate with the Japan-based parent company
  • Support administrative reporting and documentation in Japanese and English

Real Estate Support

  • Assist with research and data organization related to real estate investments
  • Collect market information and reference materials
  • Support preparation of internal review materials
  • No independent analysis or decision-making required

Qualifications

  • Authorized to work in the U.S. without visa sponsorship
  • Business-level Japanese communication skills required
  • Basic Excel and general Microsoft Office skills
  • Strong organizational and communication skills
  • Reliable, flexible, and able to work independently
  • Detail-oriented with the ability to manage multiple tasks

Preferred Qualifications

  • Administrative or office support experience
  • Experience working in real estate or related industries
  • Experience working with Japanese or multinational companies
