Japanese trading company seeking Accounting & Administrative Assistant

Position: Administrative & Accounting Assistant

Location: Schaumburg, IL

Work hours: Mon-Fri, 9am-5pm, 35h/week. 

Work Style: Hybrid (60% at the office)

FLSA: Non-exempt

Pay: Around $23-$27/hour(DOE)

Position Summary

The Administrative & Accounting Assistant provides accounting and administrative support to ensure accurate financial recordkeeping and timely reporting. This role supports daily accounting operations, periodic closing activities, and general office administration while working closely with internal teams under established procedures.

Key Responsibilities

  • Verify trade payment requests, review supporting documents, and submit approvals in SAP
  • Perform daily bank reconciliations and ensure general ledger accuracy
  • Execute routine SAP-related processes and system runs
  • Process employee expense reimbursements with complete documentation
  • Monitor AR/AP aging and prepare weekly outstanding balance reports
  • Support quarterly reporting to the parent company and annual audit preparations
  • Prepare confirmation letters and account balance documentation for vendors and customers
  • Maintain organized accounting records, filing, and archiving

Administrative & Office Support

  • Provide general administrative support to ensure efficient office operations
  • Manage office supplies, access cards, mailroom tasks, and basic IT coordination
  • Support executive travel arrangements, expense organization, and reservations
  • Assist with onboarding of new or rotational staff and other HR-related support as needed
  • Coordinate company vehicle administration, contracts, and master data maintenance
  • Communicate with internal teams and external partners, including legal counsel, as assigned

Qualifications

  • Bachelor’s degree
  • 1–3 years of experience in accounting and administrative roles
  • Strong attention to detail with excellent organizational and multitasking skills
  • Effective written and verbal communication skills
  • Intermediate to advanced Excel proficiency
  • Experience with ERP systems (SAP preferred)
  • Advanced English proficiency
