Position Overview

A global consulting firm specializing in solutions for the recycled paper and pulp industry is seeking a detail-oriented Office Support Specialist for its Illinois office. The ideal candidate will provide administrative, accounting, logistics, and general office support.


Key Responsibilities

Accounting Support

  • Review employee expense reports and upload them to the accounting system
  • Process vendor invoices and enter into the accounting system
  • Monitor monthly customer production data
  • Prepare and issue customer invoices

Logistics & Inventory Management

  • Track and manage office inventory; reconcile monthly
  • Oversee inventory at third-party warehouses
  • Prepare documentation for incoming international shipments
  • Coordinate shipping documentation for vendors, warehouses, and customers
  • Generate purchase orders for chemicals, parts, and equipment (domestic and international)

Administrative & General Affairs

  • Receive and send packages (USPS, UPS, FedEx)
  • Coordinate maintenance for company vehicles
  • Prepare materials for trade shows and exhibitions
  • Maintain office supplies and liaise with utility providers and government agencies
  • Support other administrative tasks as assigned

Qualifications

  • Education: Bachelor’s degree required
  • Experience:
    • Minimum of 2 years in an administrative, logistics, or office support role preferred
    • Familiarity with purchase orders, invoice processing, and order management
  • Skills:
    • Strong organizational and prioritization skills
    • Efficient communication skills in Japanese.
    • Ability to work independently and make decisions
    • Excellent problem-solving and written communication skills
    • Proficient in general administrative duties
