TITLE: Administrative Assistant

DEPARTMENT: Energy, Power and Infrastructure Dept.

LOCATION: Houston

SUMMARY OF POSITION:

  • Provide administrative and business support to the Energy, Power & Infrastructure Department (the “Departments”).
  • This is an assistant position that will support the deals in the United States, Canada and Latin America, and will work closely with our headquarters in Japan to process administrative work.

ESSENTIAL FUNCTIONS:

Asset Management Support

  • Provide general asset management support on our existing investment portfolio.
  • Maintain close communicate with various vendors to support the operation of such assets.
  • Assist in management of cash and provide accounting support for the operation of such assets.
  • Assist in managing bank accounts and process monthly bank reconciliations.

Budget Management Support

  • Assist in monthly, quarterly and annual budget process for the Departments, subsidiaries and affiliates. Identify and keep the manager informed of any discrepancies and progress of budget achievements, maintain close communication with all related parties, collect necessary information and prepare reports.
  • Update budget related data on Budget Management System and ERP(SAP).
  • Assist in monitoring and reviewing P/L and B/S and support preparation of business plan.

Accounting Support

  • Process or post variety of accounting transactions and general ledger entries for business expense, sales transactions, service agreements and other business transactions for the Departments and subsidiaries/affiliates.
  • Collect and summarize the Departments’ business progress, development and other business-related information. Distribute summarized information to all employees within the Departments to promote business synergy.
  • Coordinate visitors’ calendar and travel arrangements, provide refreshments, communicate schedule to all parties involved.
  • Coordinate the Departments members’ business travel arrangements and process expense reimbursements
  • Maintain close communication with all related parties at HQ, subsidiaries and affiliates in the Americas region.
  • Contributes to team effort by accomplishing related results as needed.

Business Development Support

  • Assist in collecting data, preparing business reports and conducting business research and analysis. (e.g. electricity prices, natural gas price, etc.)
  • Periodically distribute industrial news and articles among the Departments and/or to HQ.
  • Assist GM/SMGR by identifying the appropriate contacts and making appointments to support business development activities.
  • Prepare business presentation materials.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

  • 3+ years of relevant work experience
  • Knowledge of basic accounting/bookkeeping principles
  • Ability to recognize and adjust routine accounting entry errors
  • Ability to communicate effectively with those inside/outside the organization
  • Must possess basic analytical skills, meet deadlines and maintain confidential information
  • Must possess strong organizational and time management skills
  • Proficient with Microsoft Office (Advanced level of Excel preferred)
  • Proficiency with Quick Book is a plus
  • Business level fluency in Japanese
