Position Summary<\/h2>\n

This position involves tracking cargo, preparing for customs clearance, coordinating domestic transportation for primarily imported goods, and performing related administrative tasks.<\/p>\n

<\/p>\n

Qualifications<\/h2>\n
    \n
  • 3\u20135 years of operations experience in the logistics or freight forwarding industry, with knowledge of international supply chains.<\/li>\n
  • Candidates with logistics experience on the shipper side will also be considered.<\/li>\n<\/ul>\n

    Essential Duties<\/h2>\n

    Logistics Operations<\/strong><\/p>\n

      \n
    • Handle import and\/or export transportation.<\/li>\n
    • Receive and review transportation documents, including bills of lading, waybills, invoices, and packing lists.<\/li>\n
    • Communicate with customers, vendors, and partners to coordinate transportation schedules.<\/li>\n
    • Prepare documents, such as Arrival Notices (A\/N) and Delivery Orders (D\/O), for vendors and partners.<\/li>\n<\/ul>\n

      Shipment Tracking<\/strong><\/p>\n

        \n
      • Check shipment status using internal systems or by contacting vendors and partners.<\/li>\n
      • Update shipment tracking reports in Excel or the system.<\/li>\n<\/ul>\n

        Rate Procurement<\/strong><\/p>\n

          \n
        • Clarify rate requirements with customers and Tokyo headquarters. Some requests require a response within one to two working days.<\/li>\n
        • Request and review rates from vendors and partners.<\/li>\n
        • Discuss rates with management and submit them to customers or Tokyo headquarters.<\/li>\n<\/ul>\n

          Problem Resolution<\/strong><\/p>\n

            \n
          • When issues arise, gather information from vendors, partners, and consignees, and discuss the situation with management.<\/li>\n<\/ul>\n

            Meetings<\/strong><\/p>\n

              \n
            • Attend weekly operations meetings and other meetings as needed.<\/li>\n
            • Attend meetings with Tokyo headquarters when necessary. These are generally held after 6:00 PM because of the time difference.<\/li>\n<\/ul>\n

              Accounting and Invoicing<\/strong><\/p>\n

                \n
              • Review vendor and partner invoices against quoted rates and resolve discrepancies.<\/li>\n
              • Prepare Billing Work Sheets (BWS) and request management approval for vendor and partner payments and customer invoicing.<\/li>\n
              • Send payment confirmations, such as ACH remittance notices, to vendors and partners.<\/li>\n
              • Send invoices to customers.<\/li>\n<\/ul>\n

                Timesheets<\/strong><\/p>\n

                  \n
                • Update and submit biweekly timesheets for payroll.<\/li>\n
                • Update and submit monthly timesheets for Tokyo headquarters.<\/li>\n<\/ul>\n
