The role serves as a central point of coordination for employee experience, internal processes, and administrative projects, while supporting operational efficiency across the organization.<\/p>\n<p>The position also plays a key role in bridging communication between Canadian operations, North American regional headquarters, and headquarters in Tokyo.<\/p>\n<p>This position offers flexibility through a hybrid work arrangement, while requiring a high level of responsiveness and effective communication in a dynamic work environment.<\/p>\n<p><\/p>\n<p><strong>Key Responsibilities<\/strong><\/p>\n<p><\/p>\n<p>1. HR &amp; Onboarding Support<\/p>\n<ul>\n<li>Coordinate end-to-end onboarding processes, including scheduling with HR and IT teams<\/li>\n<li>Prepare and distribute onboarding materials, and arrange office setup (e.g., equipment, system access, business cards)<\/li>\n<li>Act as liaison for IT setup and system access, ensuring a smooth onboarding experience<\/li>\n<li>Maintain accurate employee records and onboarding documentation<\/li>\n<li>Support onboarding and ongoing coordination for expatriate employees, including immigration and relocation support<\/li>\n<li>Coordinate communication between Canadian teams, North American regional headquarters, and headquarters in Tokyo<\/li>\n<li>Maintain and update internal employee portal and onboarding resources to ensure information is current and accessible<\/li>\n<\/ul>\n<p>2. Employee Support &amp; Communication<\/p>\n<ul>\n<li>Serve as the primary point of contact for employee inquiries<\/li>\n<li>Triage requests and coordinate with relevant departments<\/li>\n<li>Support internal communications such as announcements and updates<\/li>\n<li>Ensure timely and accurate responses to enhance employee experience<\/li>\n<\/ul>\n<p>3. Accounting &amp; Financial Support<\/p>\n<ul>\n<li>Act as point of contact for employee reimbursements, ensuring timely processing<\/li>\n<li>Process and track general invoices (e.g., courier services, telecommunications), including approval coordination<\/li>\n<\/ul>\n<p>4. Executive &amp; Office Support<\/p>\n<ul>\n<li>Coordinate travel arrangements, accommodations, and visitor logistics<\/li>\n<li>Organize meetings, events, and workshops<\/li>\n<li>Support day-to-day office operations to ensure an efficient and well-functioning workplace<\/li>\n<\/ul>\n<p>5. Operations &amp; Administrative Projects<\/p>\n<ul>\n<li>Support administrative and documentation-focused projects (e.g., ISO compliance)<\/li>\n<li>Maintain organized filing systems and documentation (SharePoint\/Teams)<\/li>\n<li>Assist in developing and maintaining SOPs, templates, and internal documentation<\/li>\n<li>Support cross-departmental coordination to ensure efficient workflows<\/li>\n<\/ul>\n<p><\/p>\n<p><strong>Skills &amp; Qualifications<\/strong><\/p>\n<ul>\n<li><strong>Business-level Japanese required<\/strong>\u00a0to support communication with North American regional headquarters and headquarters in Tokyo<\/li>\n<li>Excellent written and verbal communication skills<\/li>\n<li>Strong interpersonal skills with a service-oriented mindset<\/li>\n<li>Proactive and able to work independently with minimal supervision<\/li>\n<li>Strong organizational and multitasking skills with a high level of attention to detail<\/li>\n<li>Proficiency in Microsoft Office (Excel, PowerPoint) and collaboration tools (Teams, SharePoint)<\/li>\n<\/ul>\n<p><\/p>\n<p><strong>Additional Information<\/strong><\/p>\n<p>This is an existing vacancy.
